Operations Officer
BASE OF OPERATIONS : Dhangadhi, Pokhara
POSITION REPORTS TO: Landscape Team Leader
USAID Biodiversity (Jal Jangal) will conserve nature, enhance human well-being, and safeguard Nepal’s biodiversity to improve the health of ecosystems, fight environmental crime, and improve the ability of communities to prepare for and adapt to impacts caused by climate change and natural disasters. The activity will achieve measurable conservation targets within the biodiversity-rich, terrestrial, and freshwater ecosystems in and around the Chitwan-Annapurna Landscape, Kailash Sacred Landscape, Terai Arc Landscape, and the proposed Karnali Conservation Landscape while increasing resilience to climate change and contributing to the inclusive and sustainable development of the Nepali people. To accomplish this, USAID Biodiversity (Jal Jangal) will implement activities aligned with three mutually interrelated and reinforcing objectives: Improve the health of ecosystems (Objective 1), Strengthen environmental crime control and natural resource safeguards (Objective 2), and enhance the climate resilience of natural and human systems (Objective 3).
1. Objectives of the assignment
The Operations Officer will be responsible for efficient and accurate administrative operations of the USAID Biodiversity (Jal Jangal) landscape office in Dhangadhi or Pokhara. S/he will oversee the maintenance and proper operation of the office, the office equipment, and keep the office supplies in stock. This role will work closely with the Landscape Team Leader and the Director of Operations and Logistics and Administration Manager by handling administrative tasks, coordinating calendars, organizing meetings and travel arrangements, and performing other duties as required by the Landscape Team Leader.
2. Tasks & Responsibilities
- Responsible for ensuring USAID Biodiversity (Jal Jangal) activity property is well-maintained, organized, used solely for intended official purposes, and used in accordance with terms and conditions of lease or rental agreements.
- Handle routine administrative tasks, to include calls, mail, and electronic communications and routing messages and information to appropriate individuals.
- Support receipt and timely distribution of mail, DHL, and other communications to responsible activity staff
- Prepare staff travel and/or lodging documentation for processing of invoice payments.
- Assist in making staff reservations for accommodations and/or flights.
- Manages the process for stocking and maintaining office supplies.
- Manages the inventory log up to date and accurate, ensure all asset items are labeled properly and on time. Perform inventory reviews annually.
- Assist with data entry and accurate record management for all aspects of operations department and administration.
- Maintain relationships with the landlord, office building management, and vendors or suppliers who provide administrative and/or operational activity support.
- Prepare accurate and timely reports and other activity documentation as required
- Keep respective activity records in DAI’s data management system (TAMIS)
- Lead by example in adherence to DAI’s high ethical standards and ensure high compliance, contributing to a positive work environment.
- Support the landscape technical team develop event proposals, paying particular attention to the budgetary section and making sure that organization policy and project compliances are maintained.
- Manages landscape-based operations staff and contracts (drivers, front office Assistant, cleaners, Security guards)
3. Qualifications
- University degree in relevant field required.
- Operations, finance, and logistics experience, preferably with international donor-funded organization. For a candidate with a master’s 3 years of professional work experience is required, for a candidate with a bachelor’s 6 years of relevant technical experience is required. (Subtract one year of relevant experience –2 years with MA or 5 years with BA – for persons of excluded groups)
- Computer literate with email, word processing, and spreadsheet experience
- Ability to multi-task and prioritize tasks. Excellent organizational skills and ability to work as part of a team.
- 1 year of supervisory experience in a similar role.
- Ability to respond effectively to time sensitive demands and inquiries.
- Fluency in English and Nepali is required.
