Admin and Finance Associate 

OVERVIEW:

Health Nutrition Education and Agriculture Research Development Nepal (HEARD Nepal) is registered in DAO Saptari, Regd. No: 1761/077/78 as a Non-Governmental Organization under the Registration of Institutions Act 2034 BS. It has been affiliated with the Social Welfare Council, Kathmandu with Affiliation No: 52601) PAN No of HEARD Nepal is 615996712). HEARD Nepal has its Provincial field office in Biratnagar, Morang and Sukedhara, Kathmandu. Currently, projects are operating from Biratnagar field office. The organization is looking for a following position for our anticipated project. The ideal candidate will be an excellent leader and will have experience in managing staff of diverse backgrounds to produce results in a timely manner and of high standard. Generally, the Program Manager (Head of Program) will be responsible for development, organization, co-ordination, and management of various programs and associated projects.

Role and responsibilities:

POSITION: ADMIN AND FINANCE ASSOCIATE (PAID PROFESSIONAL VOLUNTEERS/INTERNSHIP – 1 (Biratnagar Field Office, Morang, Koshi Province) Local candidate only.

 HEARD Nepal is seeking a highly motivated and experienced Admin and Finance Associate to oversee the organization’s financial health, administrative functions, and operational efficiency. The role of HEARD Nepal’s Admin and Finance Associate will be instrumental in managing the organization’s financial planning, budgeting, accounting processes, and day-to-day administration, ensuring that HEARD Nepal maintains strong financial integrity and compliance with applicable legal and accounting regulations.

This role demands strong leadership, know-how in setting up organizational administrative systems and processes, sound knowledge in finance and accounting processes and policies, along with a commitment to learning the nature and impact of work that HEARD Nepal creates.

 Qualification and Key Responsibilities:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Solid understanding of financial management, budgeting, and accounting principles, with knowledge of Nepali tax laws and compliance requirements
  • Excellent analytical and problem-solving skills, with the ability to interpret financial data and make informed decisions.
  • Full or part time professional qualifications in finance and accounting, for considered advantageous. Knowledge and experience to operate accounting software (especially FAMAS, TRUEBOOK Finance system). However, it is considered.
  • Progressive responsibility in supporting Accounting, Finance, Administration and Grant Management functions.
  • Oversee daily accounting activities, including maintaining accurate financial records, processing invoices, expense claims, and bank reconciliations.
  • Prepare monthly, quarterly, and annual financial reports, ensuring compliance with internal policies, donor requirements, and government regulations, as applicable.
  • Coordinate with external auditors to ensure smooth audits, and ensure all financial activities comply with statutory/ Social Welfare Council (SWC) requirements, tax regulations, and HEARD Nepal financial policies.
  • Manage funds and grants received from donors, ensuring proper allocation, utilization, and reporting.
  • Oversee the smooth functioning of the office, including logistics, procurement, and asset management, ensuring that all administrative processes are efficient and well-organized.
  • Support HR-related tasks, such as maintaining employee records, facilitating recruitment processes, and coordinating staff onboarding and training.
  • Assist in planning and organizing internal and external events, workshops, and meetings.
  • Manage relationships with vendors and service providers, ensuring timely procurement of goods and services and maintaining accurate records of and preparing reports of procurement/ transactions.
  • Knowledge of award, contract regulations, supply chain management and reporting requirements and /or other major donors advantageous.
  • Experience in working in an international context, considered an advantage; excellent knowledge of Microsoft Office package (including MS Work, Excel, and PowerPoint) and Internet is required; Fluency in written, oral English and Nepali is required; any other widely spoken language in a priority region would be an asset.
