Key Responsibilities:
To provide finance, administration and logistics management support to WVIN Field Office and ensure that financial records are maintaining properly; including processing journal vouchers, reconciling accounts, preparing reports and support for general office administration, fleet management and logistics arrangement for smooth field operation.
MAJOR RESPONSIBILITIES:
- Accounts Payable of travel and business advance prepared after supervisors’ approval on time
- Accounts Payable for payments to suppliers and vendors are processed after reviewing all the supporting documents in time
- Tax are deducted on source as per Income tax act of Nepal
- Tax, cheques are prepared and deposited in time. Separate files are maintained of RF and Tax.
- Petty Cash disbursement regularly with proper cash balance.
- Charge petty Cash expenses into the right chart of accounts.
- Petty Cash Summary and replenishment on time.
- Prepare Cash disbursement voucher as per WVIN Financial Policy and Enter valid account code, cost center, donor combination, project number on all vouchers according to chart of account.
- 100% of vouchers are maintained according to the policy and procedure.
- Real-time data entry in SunSystem and provide required information to National Office for payment.
- Assist supervisor on preparing periodic finance reports
- Prepare a bank reconciliation on a monthly basis on time
- Handle office petty cash, do complete record-keeping and replenish at the end of month
- Manage office administrative functions working with Field Operation Manager (i.e., office utilities, insurance, vehicles tax renewal process, leave record and inventory management etc.)
- Ensure effective mobilization of drivers based on demand and need to movements.
- Facilitate to conduct work and event organized at Field Office level and prepare the report
- Maintain Logbooks are checked on a weekly basis. Driver records contain all fuel and maintenance costs in the logbook, indicating the reading on the odometer at the time of the expense
- Verify vehicles repair orders are complete and calculate total over time work hours of drivers.
- Coordinate and facilitate events/workshops/accommodation. This will include coordination with hotels/catering service providers, raising Purchase Orders and settlement of Invoices
- Lead on asset management of field offices and PNGOs according to the system
- Ensure offices assets are updated, reviewed and reconciled
- Offices assets are timely disposed
- Monthly files are kept in a designated place
- The entire documents are approved and verified in time before filing
- Marked paid stamp on all documents before filing.
- Retain all vouchers in line with the orderly sequence
- Staff leaves and benefits records are maintained and reported to the relevant department.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE
Required Professional Experience
- At least 2 years’ experience in Finance field, World Vision experience is preferred
- WVIN Admin, Procurement, Finance, Security policies and procedures, etc.
- Strong negotiation, interpersonal skills, organizational, administrative and facilitation skills
- Strong knowledge of Procure-to-Pay processes.
Required Education, training, license, registration and certification
- Bachelor degree or equivalent qualification in management, business administration or related area
Preferred Knowledge and Qualifications
- General Accepted Accounting Principles (GAAP), Knowledge on Nepalese Taxation, and VAT Act.
- Excellent computer literacy & skill of MS office applications (Word/Excel/PowerPoint/internet etc.)
- Good command of English & Nepali languages (written & spoken)
- Able to articulate and communicate ideas well verbally and in writing
- Practical knowledge of project finance, administration, assets and fleet management
- Understanding of World Vision Financial and Supply Chain System & procedures
