This
vacancy is a local staff position. It is open only to nationals and residents
of Nepal.

The
position is assigned in the Nepal Resident Mission (NRM) within the South Asia
Department (SARD). SARD is responsible for providing leadership, innovation,
lending, project implementation and knowledge sharing for ADB’s sector and
thematic work that covers operations in Bangladesh, Bhutan, India, Maldives,
Nepal, and Sri Lanka. NRM is supporting the Government of Nepal’s development
objective of accelerated sustainable and inclusive economic growth.

Job
Purpose
The
Operations Assistant will perform administrative duties for Nepal Resident
Mission (NRM), including organizing and maintaining records, contacting with
the public, preparing correspondence and reports, assisting in visiting ADB
missions and other appropriate functions as required. The incumbent will report
to a designated international staff (IS) and senior national staff (NS).
Responsibilities
a. Mail/Written Communications/Follow-up
·
Ensures
that all correspondence and documents for supervisors are correctly typed,
copied, or printed, and prepared and submitted on time in compliance with ADB’s
standards.
·
Ensures
that all incoming mail is logged, properly distributed, and promptly brought to
the attention of concerned staff, and that outgoing mails/faxes are delivered
on time.
b. Communications, and Internal & External Contacts
·
Provides
efficient reception services by screening incoming telephone calls, taking
accurate messages, dealing with queries from internal and external calls to
ensure that they are referred in a timely manner to the concerned staff.
c. Calendar and Travel
·
Ensures
the effective coordination of supervisors’ schedules by maintaining their
diaries and arranging appointments, meetings, travel, and accommodation as
specified by supervisors in accordance with ADB procedures.
·
Assists
the visiting ADB missions associated with the supervisors’ task areas.
d. Office Administration and Logistic support
·
Ensures
that office filing systems and records are properly maintained and updated in
accordance with an existing framework for easy retrieval.
·
Relieves
other administrative assistants when they are absent, as required.
·
Supports
NRM and supervisors in organizing workshops, conferences, retreats, and events.
e. Data Analysis and Report Generation
·
Collects,
compiles, and analyzes relevant information and data related to supervisors’
operational tasks, in particular those related to TAs and staff consultants, by
retrieving files, preparing tables and charts, and preparing reports as per the
relevant staff guidance.
f. Coordination
·
Familiar
with updated IT systems for the relevant tasks as designated.
·
Provides
overall coordination of other administrative assistants including contractors,
and support and guide their activities with mentoring.
·
Provides
administrative assistance to Country Director in the absence of Operational
Coordinator or upon her request and guidance.
g. Others
·
Performs
any other duties as may be assigned as part of the work plan.
Qualifications
Relevant
Experience & Requirements
·
Bachelor’s
degree in economics, finance, business administration or related fields.
·
At
least 5 years of relevant work experience; related experience in international
agencies similar to ADB will be preferred.
·
Demonstrated
knowledge and understanding of international agencies’ operational processes
and procedures.
·
Proficiency
in operating microcomputers and using software packages, for performing word
processing, spreadsheets, graphics, and database applications.
·
Ability
to liaise and work effectively with staff within own work location and
throughout ADB.
·
Ability
to work collaboratively with teams as a constructive team member.
·
Ability
to establish and maintain productive contacts with appropriate officials of
host government agencies, donor agencies and other stakeholders.
·
Very
good interpersonal and communication skills.
·
Ability
to work with individuals from different cultural/national backgrounds.
·
Very
good oral and written English communication skills.

Considerations
The
selected candidate, if new to ADB, is appointed for an initial term of 3 years.
